Short answer: there are five routes. You can do it yourself, use design and scheduling apps, hire a freelancer, hire an agency, or use a done-for-you service such as Suara (trysuara.com), which makes posts from your own photos for you to approve in a chat. If you need shoots, campaigns or paid ads, an agency or freelancer is the better fit. If you need good posts every week without losing your evenings, a done-for-you service fits.
Side by side
| Option | Your time each week | What you get | Best for |
|---|---|---|---|
| Do it yourself on your phone | High: shoot, edit, write, post | Full control, your own voice | Owners who enjoy it and have the evenings |
| Design and scheduling apps | Medium to high: you still design and write | Templates and planned posting | Owners comfortable designing |
| Freelancer | Low to medium: briefs and reviews | One person who learns your venue | One location, a steady relationship |
| Agency | Low day to day, plus meetings | Strategy, shoots, ads, reports | Groups, launches, paid campaigns |
| Done-for-you service, such as Suara | Low: send photos, approve posts | A week of finished posts from your photos | Busy owners who want it handled |
Freelancer and agency prices vary a lot by city and scope, so ask two or three for a written quote. Suara's price is on the trysuara.com homepage.
How to choose
How much time can social media take? If the honest answer is an hour on Sunday, pick an option where someone else designs and writes and you only review.
Do you need photography or ads, or just posts? Shoots, influencer work and paid campaigns are agency or freelancer jobs. If you already have photos on your phone and want them turned into good posts, you don't need a full agency.
Who approves what goes out? Whatever you pick, keep the final yes. Wrong prices, old opening hours and dishes that are off the menu are easy to miss. A quick approval step catches them before customers do.
How often to post
You don't need to post every day. Buffer's study of 2.1 million posts from 102,000 Instagram accounts calls 3 to 5 posts a week "likely the sweet spot" for reach and growth without burning out (August 2025).
In our sample of 1,355 public restaurant and cafe accounts, accounts posting under 4 times a month had a median of 8.0 likes per post per 1,000 followers, against 2.7 for accounts posting 13 or more times (October 2026). This is a correlation, not proof that posting less causes more likes, and the gap mostly flattens beyond about 8 posts a month. A steady few good posts beat a flood of rushed ones.
Where an agency or freelancer fits better
- You need photo or video shoots at your venue.
- You need paid ads planned and run.
- You want one person or team to also handle menus, events, influencers or a website.
How Suara helps
Suara is done for you: share your Instagram or website, and Suara makes a week of posts every week from your own photos, in your look and voice. Each post comes to you in a Telegram chat, and nothing is posted until you approve it. Your first week is free. Start your free week. You can also send a photo, a voice note or a post you like at any time, and Suara sends back a finished post with the caption written.
Questions
What is the cheapest way to get Instagram posts for my cafe?
Doing it yourself costs the least money but the most time. If your time is the scarce part, compare what an evening a week is worth to you against a freelancer's quote or a monthly service.
Do I need a social media manager for a small restaurant?
Not always. A single location that only needs regular posts can often use a freelancer or a done-for-you service. A manager or an agency makes more sense for several locations, launches or paid ads.
Can AI make my restaurant's Instagram posts?
Yes, but the result depends on your photos and on a person checking it. Suara makes posts from your own photos and sends each one to you, and nothing is posted until you approve it.
How many posts a week should a cafe aim for?
Three to five good feed posts a week is a common target, and Buffer's study supports it. Pick a number you can keep up every week.
